Information we collect
Account information
To connect MediCall to your organization's NetLayers phone system you enter the account details provided by your administrator: your extension or phone number, the server (domain) name, and your password. The app sends these to the NetLayers voice network to sign you in. Your password is used to authenticate you and is stored encrypted on your phone.
Call information on the voice network
To connect your calls, the NetLayers voice network processes the numbers you call and the numbers that call you, the time and duration of each call, your call audio while the call is in progress, and your device's IP address. Like any phone service, the voice network keeps call detail records (numbers, date, time and duration) for billing, troubleshooting and legal obligations. The app itself does not upload your call history, contacts or recordings.
Support information
If you contact NetLayers support we may collect your contact details, account and service information, a description of your issue, and any troubleshooting notes needed to help you.
Permissions the app uses
MediCall asks only for the permissions it needs to make, receive and manage calls. Some are optional, and you can change any of them in your phone's settings.
- Microphone — required to send your voice during a call. The microphone is active only while a call is in progress.
- Phone calls — lets MediCall work with Android's built-in call management, so that Bluetooth headsets and car systems can answer, end and control MediCall calls. MediCall does not read your phone number, SIM card, cellular call log or cellular calls.
- Nearby devices (Bluetooth) — lets you use a Bluetooth headset or earbuds for call audio. MediCall does not scan for, locate or track nearby devices.
- Contacts — optional. If you turn on Use Phone Contacts in the app's settings, MediCall reads your contact list on the phone so you can call people by name. Your contacts are read on the phone only. They are not uploaded, transmitted to any server, or shared with anyone.
- Notifications — used to show an ongoing-call notification, incoming calls and missed calls.
- Display over other apps and full-screen notifications — let the incoming-call screen appear on top of other apps and on the lock screen, so you can answer.
- Battery optimization exemption — optional. Keeps Android from cutting the app's connection to the voice network while the phone is idle, so calls can still reach you.
- Alarms & reminders and run at startup — let the app refresh its connection to the voice network while the phone sleeps, and reconnect after the phone restarts.
- Internet, network status, vibration and keeping the phone awake during calls — required to carry calls over the internet, move a call between Wi-Fi and mobile data, vibrate for incoming calls, and keep a call running with the screen off.
MediCall does not use your location, camera, photos, SMS messages, cellular call log or advertising ID.
What stays on your phone
MediCall keeps your working data on your own phone rather than in the cloud, in the app's private storage area where other apps cannot reach it. Saved passwords are encrypted. Android's automatic cloud backup is turned off for MediCall, so this data is not copied to backups.
What the app keeps on your phone:
- Account settings and credentials used to connect to the NetLayers voice network, with passwords stored encrypted
- Call history — numbers, direction, date, time and duration
- Your MediCall contacts, as you enter them in the app
- Preferences such as audio and calling settings
- Call recordings you have made, as audio files
You can clear this information from inside the app at any time, and uninstalling MediCall removes all of it from your phone.
Call recordings
MediCall can record a call when you tap the record button, or automatically if you turn on automatic recording for an account. Recordings are saved only in the app's private storage on your phone. NetLayers does not upload, store, or have any access to them. You can play back, share and delete recordings from within the app; a recording leaves your phone only if you choose to share it. Uninstalling MediCall removes all recordings.
You are responsible for using the recording feature lawfully. Recording a call without the knowledge or consent of the other party is restricted or prohibited in many places, and the requirements differ by province, state and country. Please make sure you understand and follow the rules that apply where you and the other party are located.
Staying connected for calls
So that calls can be placed and received without opening the app first, MediCall keeps a small background service connected to the NetLayers voice network. Whenever this service is running, Android shows a MediCall notification. The same service keeps an active call going when you switch to another app or turn off the screen. MediCall does not use Google's push notification service; calls come straight from the NetLayers voice network to the app.
You can disconnect your accounts in the app at any time. While your accounts are disconnected, you cannot receive calls in MediCall.
How we use information
- To provide and operate the MediCall service
- To sign you in to the NetLayers voice network
- To connect your calls and deliver incoming calls to your phone
- To diagnose problems and improve call quality
- To respond to your support requests
- To meet our legal and regulatory obligations
How we share information
We do not sell your personal information, and we do not share it with advertisers or marketing partners. Information leaves your phone or our network only as follows:
- Telephone carriers — when you call a regular phone number, the number you dial and your caller ID are passed to the telephone carriers that connect the call, as with any phone service.
- Network address lookup — to set up call audio across different networks, the app contacts Google's public STUN server (stun.l.google.com), which sees your phone's IP address. No call content, contacts or account details are sent to it.
- Google Play — the app checks with the Google Play Store app whether an update is available.
- When required by law, court order, or lawful government request
- When necessary to protect the rights, property, or safety of NetLayers, our customers, or others
- With service providers that process data on our behalf, such as infrastructure providers, under written confidentiality obligations
Data retention
We retain account information for as long as your NetLayers account is active, or as long as needed to provide the service. Call detail records are kept as long as needed for billing, troubleshooting and legal obligations. Anything stored on your phone — account settings, call history, contacts and recordings — stays there until you delete it or uninstall the app.
Your rights and choices
You have the right to access, correct, or request deletion of the personal information we hold about you, and to withdraw consent for optional processing. You can clear your call history, contacts and recordings from inside the app at any time, turn off optional permissions in your phone's settings, and remove all local data by uninstalling the app. To exercise these rights or to request deletion of your account data, contact us at support@netlayers.ca.
Security
We use commercially reasonable technical and organizational safeguards to protect your information, including encryption of saved passwords on your phone and keeping app data in private storage that other apps cannot access. No method of electronic transmission or storage is perfectly secure, so we cannot guarantee absolute security, but we work continuously to protect your data.
Children's privacy
MediCall is a business communication tool and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.
International users
MediCall is operated from Canada. By using the app you understand that your information may be processed in Canada, or in other countries where NetLayers or its service providers operate.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. Material changes will be communicated through the app or by other reasonable means. Continuing to use MediCall after a change takes effect constitutes acceptance of the updated policy.
